Best Appointment Scheduling Software 2026: Booking Tools Ranked
We rank online appointment scheduling and booking tools using only facts from their own sites: the monthly price of the cheapest paid plan with monthly billing, whether there is a permanent free plan, payments at the time of booking, SMS reminders, automatic assignment of bookings across a team, iCloud calendar sync, a public API, a data processing agreement (DPA) under GDPR, a SOC 2 report, data storage in the EU, the year the company started and a public status page. Every fact links to an official page with a check date. We do not use reviews, user scores or our own tests, which we cannot repeat, and paid placements never change the Score.

Not ranked yet: not enough verified data
These services are known to us, but we haven't verified enough facts to rank them fairly.
- Acuity Scheduling (site closed to automated checks, )
- Appointlet (53% backed by facts)
- Cal.com (67% backed by facts)
- Koalendar (68% backed by facts)
- Setmore (52% backed by facts)
- SimplyBook.me (63% backed by facts)
Sites marked as closed refuse automated reading (403 error, captcha or a robots.txt ban). We don't bypass such protection, so we can't verify their facts and they are not ranked. This says nothing about their quality. A company can send links to its official pages to [email protected].
How we calculate the Score
30%
Price
Monthly list price in USD of the cheapest paid plan with monthly billing, as shown on the official pricing page: $0 scores 100, $30 or more scores 0 (weight 3). Most tools charge per user, some per location or per calendar: check the note under the price. Annual-billing prices, one-time lifetime deals and promotions are ignored. If the page shows only the annual price, shows the monthly price only after a script runs, or shows a currency other than USD to us, the fact stays empty. Also a permanent free plan on which clients can actually book (weight 2).
35%
Booking features
Whether clients can pay or leave a deposit when they book (weight 2), whether the tool sends SMS reminders itself, not only through Zapier (weight 2), whether bookings can be assigned automatically to an available team member, by round robin or an "any available" option (weight 2), whether an iCloud (Apple) calendar can be connected (weight 1) and whether there is a documented public API (weight 1). The fact shows that a feature exists on some plan, not that the cheapest plan has it.
20%
Privacy and security
Whether the vendor offers customers a data processing agreement under GDPR (weight 2), states that it has a SOC 2 report (weight 1) and lets customers keep their data in the European Union (weight 1). An EU option that exists only for large enterprise contracts is not counted. We record the vendor's statement; we do not audit it.
15%
Track record
How long the company has been running: 15 years or more scores 100 (weight 2), and whether it publishes a public status page with incidents (weight 1).
How to choose an appointment scheduling tool
Start with how you get paid
If you sell sessions, check that clients can pay or leave a deposit when they book, which payment providers are supported and whether the vendor takes its own fee on top of the processor's.
Connect every calendar you use
The tool must read all your calendars to avoid double bookings. Check support for Google, Outlook and iCloud on the plan you will buy, and how many calendars that plan connects.
Reduce no-shows
Email reminders are standard; SMS reminders work better for many clients but are often limited by country or sold as credits. Check where SMS works and how many messages are included.
Plan for a team
If several people take bookings, look for round robin or an "any available" option, a shared booking page and per-user pricing that still fits when the team grows.
Frequently asked questions
Which appointment scheduling tool is best?
The tool in first place has the highest Score under our open method, but the Score does not measure ease of use or how well a tool fits your work. Compare the price for your number of users, the free plan limits and the features you actually need, such as payments or SMS.
Why is the price empty for Calendly and some other big tools?
We take the price with monthly billing as it is shown on the official pricing page. Several pages show only the annual price by default and keep the monthly one in script data, show it only after a script runs, or show a non-US currency to our server. In those cases the fact stays empty and lowers data completeness; the note on the tool's page shows the price we saw.
Why do some prices count per location or per calendar?
Tools price differently: most charge per user, Square Appointments per business location and Acuity Scheduling per account with a set number of calendars. We take the cheapest paid plan as it is sold and explain the unit in the note, so compare the total for your team.
Is a free plan enough for a small business?
Often it is for one person: several free plans allow unlimited bookings and even payments. Team scheduling, SMS reminders and removing the vendor's branding are usually paid. Check the limits on calendars, booking pages and bookings per month.
What does an empty fact mean?
We could not confirm it on an official page, sometimes because the vendor's site refused automated access. An empty fact scores zero and lowers data completeness. A tool with too little data is not ranked.
