Best Video Conferencing Services 2026: Independent Ranking for Small Teams

We rank video meeting services for small teams and individuals using only facts from their own sites: the monthly price of the cheapest paid plan per host, whether there is a permanent free plan, how long a free group meeting can last and how many people can join it, end-to-end encryption, recording, captions or transcripts, ISO 27001 and SOC 2, a GDPR data processing agreement (DPA), storage of meeting data in the EU, the vendor's age and its App Store rating. Every fact links to an official page with a check date. We do not test call quality ourselves and do not use reviews we cannot repeat, and paid placements never change the Score.

Not ranked yet: not enough verified data

These services are known to us, but we haven't verified enough facts to rank them fairly.

Sites marked as closed refuse automated reading (403 error, captcha or a robots.txt ban). We don't bypass such protection, so we can't verify their facts and they are not ranked. This says nothing about their quality. A company can send links to its official pages to [email protected].

How we calculate the Score

30%

Price and free plan

Monthly list price in USD of the cheapest paid plan for one host, with monthly billing: $0 scores 100, $20 or more scores 0 (weight 3). If only annual billing is sold, we divide the annual price by 12; if a service has no paid meeting plan at all, its price is $0. Other currencies are converted at the ECB rate on the check date. Also a permanent free plan (weight 2), the time limit of a free group meeting — 120 minutes or no limit scores 100 (weight 1) — and the number of participants allowed on the free plan, on a logarithmic scale up to 1,000 (weight 1).

30%

Security and privacy

Whether meetings can be end-to-end encrypted on any plan (weight 3), whether the vendor holds ISO/IEC 27001 (weight 2) and a SOC 2 report (weight 1), offers a GDPR data processing agreement (weight 1) and lets customers keep meeting data in the European Union (weight 1). We record the vendor's statement; we do not audit it.

20%

Features

Whether meetings can be recorded (weight 2) and whether the service creates live captions or transcripts automatically (weight 2) on any of its plans. The fact shows that a feature exists, not that the free plan has it: check the note under each fact.

20%

Track record

The rating of the vendor's iOS app in the US App Store, adjusted for the number of ratings (weight 2), and how long the vendor has been running: 20 years or more scores 100 (weight 1).

How we rank

How to choose a video conferencing service

  1. Check the free limits against your meetings

Free plans cap group meetings at 30–60 minutes and a set number of participants. If your weekly team call runs longer, a paid plan for one host is often cheaper than restarting the call.

  2. Count hosts, not participants

Most services charge per host or organizer; guests join free. A small team usually needs one or two paid hosts, not a licence for everyone.

  3. Decide whether you need end-to-end encryption

End-to-end encryption protects confidential talks, but it often turns off cloud recording, captions and phone dial-in. Check which features stay available when you switch it on.

  4. Ask where recordings are stored

Recordings and transcripts contain personal data. If you work with EU clients, look for a data processing agreement and an option to keep data in the EU, or record locally.

Frequently asked questions

Which video conferencing service is best?

The service in first place has the highest Score under our open method, but the Score does not measure call quality or how well a tool fits your work. Compare the free limits, the price per host and the security facts you actually need.

How do you compare prices?

We take the cheapest paid plan for one host with monthly billing, in USD, without discounts for the first months. If only annual billing is sold, we divide the annual price by 12. Prices in other currencies are converted at the ECB rate on the check date; if the ECB does not publish a rate for the currency, the price stays empty.

What does "unlimited" mean for free meeting minutes?

The vendor's official page says free calls or meetings have no time limit. A value of 0 means there is no free plan. If the page does not mention a limit at all, the fact stays empty.

Why are Microsoft Teams and Webex not ranked?

Their official sites refused our automated reading, so we could not confirm prices, free limits or certifications. We do not bypass bot protection, and a service with too little data is not ranked; its App Store rating is still shown.

What does an empty fact mean?

We could not confirm it on an official page. An empty fact scores zero and lowers data completeness. A service with too little data is not ranked.
